The terms you are agreeing to when you book a place at Rochehowl.
Questions about any of this go to info@rochehowl.be.
Still to confirm. The registered legal name, address and enterprise or VAT number of the organising entity.
A bed in a shared house for the 3 nights of 15 - 18 January 2027, or a ticket without a bed where the event offers one, plus anything extra you add during registration.
Rooms are priced per person per night and shown with VAT included. Food, travel and insurance are not included and are not arranged for you. The house is self catering.
You need an account. Some events also need an invitation code, in which case you enter it before anything else unlocks.
Still to confirm. Whether the event is formally 18+, and if so how that is checked. Nothing in the booking system enforces an age today.
You put a room and any extras in a cart, which holds them for a short window and releases them if you walk away. When you go to pay, the order locks and the prices are captured as they were at that moment.
That price snapshot works in your favour: if the cost of a room goes up afterwards, a locked order still owes what it owed.
One card payment through Stripe covers the stay, and an invoice follows it.
You have a deadline to pay after locking the order. The site emails you reminders before it passes. If it passes without payment, the registration is cancelled and the bed goes back into the pool for somebody else.
European distance-selling law gives consumers 14 days to change their mind about most online purchases. Accommodation booked for specific dates is one of the recognised exceptions to that rule.
Still to confirm. Whether that exception applies here, confirmed by a lawyer. This is the clause the entire refund policy depends on, so it has to be answered before the section below is written, not after. If the exception does not apply, the cancellation terms change completely.
There is no cancel button, by design rather than by oversight. If you need to cancel, email info@rochehowl.be and a person will deal with it.
Still to confirm. The actual policy: what you get back and by when, whether a booking can be transferred to somebody else instead, and what happens to a part-paid booking. None of this has been decided. Any refund is currently issued by hand, so whatever is agreed must not promise a speed that a manual process cannot meet.
Whoever books the room leads it and holds the group code. A code only works once the room is paid for, and only for the grade it belongs to.
If the leader leaves, the longest standing member takes over. If the last member leaves, the room goes back into the pool.
Once paid, the leader picks the actual bedroom off the floor plan. Two groups cannot end up in the same bedroom.
Still to confirm. Whether the organisers reserve the right to move a group to a different bedroom after it has been picked, and what happens to what everyone owes if one person in a room drops out.
Booking a place means agreeing to the code of conduct, which is part of these terms.
Still to confirm. Whether being removed from the event for a conduct breach forfeits what you paid. This has to say the same thing as the conduct page.
The house is rented. You are responsible for damage you cause to it.
Still to confirm. The venue’s own rules and rental terms, which bind everyone staying there in practice and are not written down anywhere on our side. Whether a damage deposit applies, and the position on smoking, candles and pets.
If the event does not run, we will tell you as soon as we know.
Still to confirm. What you get back if the organisers cancel, and what happens if the venue falls through or something outside anyone’s control stops the event.
Worth having. A three floor house with stairs, a spa and other people’s cooking is not a risk-free environment, and your own travel or cancellation insurance will cover things we cannot.
Belgian law applies. If you are a consumer, nothing here takes away your right to bring a claim in the country you live in, or your rights under the consumer law that applies there.
